The packing list is one of those documents that seems trivial until it is wrong, at which point it can hold up an entire shipment at customs, trigger fines, or cause your warehouse team to miscount inventory for weeks. Asking for it in Chinese is straightforward — 请发装箱单 (qǐng fā zhuāngxiāng dān) — but getting it right requires understanding what Chinese suppliers typically include, and more importantly, what they typically leave out.

In the Chinese export ecosystem, the packing list serves a dual purpose that many international buyers do not realize. For your customs broker, it is a declaration of what is in the shipment. For the Chinese supplier, it is also an internal document used for their own export tax rebate calculations (出口退税, chūkǒu tuìshuì). This dual identity means that the packing list you receive may be optimized for the supplier’s tax situation, not for your customs clarity. HS codes might be chosen for rebate rates rather than accuracy. Quantities might be rounded to convenient numbers. Product descriptions might use generic categories rather than your specific SKU names. If you need the packing list to match your internal systems exactly, you need to say so explicitly: 装箱单上的品名和数量要跟我们订单一致 (zhuāngxiāng dān shàng de pǐnmíng hé shùliàng yào gēn wǒmen dìngdān yīzhì — the product names and quantities on the packing list must match our order).

Chinese packing lists come in varying levels of sophistication. A large, experienced exporter will send you a professional document with carton numbers, dimensions, weights, volumes, and itemized contents. A smaller factory might send you a WeChat message that says “5 boxes, 500 pcs total” and consider that done. If you need the former and receive the latter, the phrase 需要正式的装箱单, 带箱号、尺寸和重量 (xūyào zhèngshì de zhuāngxiāng dān, dài xiāng hào, chǐcùn hé zhòngliàng — need a formal packing list with carton numbers, dimensions, and weights) makes your requirements clear without insulting their current effort. Many smaller suppliers simply do not know what a formal packing list looks like until a buyer shows them. Sending them a template is not condescending — it is practical, and they will usually appreciate it.

Timing matters with packing list requests. Asking for it before the goods are actually packed means you will get a preliminary version that may change. Asking for it after the goods have shipped means you are scrambling to prepare customs clearance while the shipment is already in transit. The ideal timing phrase is 装箱完成后马上发给我 (zhuāngxiāng wánchéng hòu mǎshàng fā gěi wǒ — send it to me immediately after packing is completed). This gets you the final, accurate version at the earliest possible moment. And when you receive it, do not just file it — check it. The phrase 我核对一下 (wǒ héduì yīxià — let me verify it) before confirming receipt is your insurance against discrepancies that are much harder to fix once the container is on the water.
